Who can see our records?Privacy

You decide. Care records live on Kithra, our care platform — you set who sees each thing, it's encrypted with AES-256, held in UK data centres, and you can export or delete it whenever you want.

Can I cancel anytime? What happens if I do?Billing

Yes. Paid tiers are monthly or annual and you can cancel whenever you like — cancelling stops the next renewal and access normally continues to the end of the paid period. Your legal right to cancel within 14 days sits above our policy; the cancellation page has the details and the model cancellation form. Your records stay yours: cancelling a paid tier never deletes anything you've written.

Can I add a child?Families

You can keep a record for a child. Access to a child's record is limited to authorised family managers, sharing with carers is currently switched off, and sensitive access is recorded. Child records don't have child accounts — a child or a responsible adult can ask us directly for access, correction, restriction or deletion at privacy@careworld.app.

How do I export or delete our information?Privacy

Email privacy@careworld.app and tell us what you want: you can ask to see what is kept (access), fix anything wrong (correction), stop or limit how it's used (objection), or delete it (erasure). Using your rights is normally free, and it will not get you or your family into trouble.

What is the emergency card?Families

Every person you care for has an emergency card — a page a paramedic or GP can open in seconds showing the essentials your family has chosen to keep. It's included at every tier, including Free. Information on it is family-entered and not clinically checked, and the card says so.

Is Kithra a medical record? Does Chronicus give medical advice?Privacy

No. Kithra holds what your family writes down — it isn't a medical record, and information in it isn't clinically checked unless a page says otherwise. Chronicus tidies and drafts your own wording and explains how things work; it never diagnoses, gives medical or medication advice, or makes decisions. For those, speak to your GP, pharmacist, NHS 111, or 999 in an emergency.

Are you a care provider?Privacy

No. Kithra and Care World are software that help families and carers organise and find care. We don't provide, arrange or manage care ourselves.

What if something is wrong?Privacy

If anyone is in immediate danger, call 999. For urgent help that isn't an emergency, call NHS 111. To report a concern, email support@careworld.app and a real person will pick it up.

How do I add someone to Kithra?Getting started

Add the person you care for from your dashboard — Kithra walks you through their details step by step, and health sections stay locked until you've answered the permission question. The Free plan includes 1 person cared for; Kithra Pro up to 4; the Bundle up to 10.

How do I invite family into the circle?Getting started

From People & permissions, invite each family member and choose what they can see. Free circles hold up to 5 members, Kithra Pro up to 10, and the Bundle up to 15 — with extra member seats available on paid plans.

Who can see what in our circle?Privacy

Every circle member has an access tier you choose — Full access, Care + schedule, Summary + meds, Medical only, or Emergency only — and you can fine-tune individual sections from People & permissions. Nobody sees anything you haven't granted.

What if the person I care for can't agree to a health record?Privacy

Health sections open only after the permission question is answered. If the adult you care for has capacity, they agree themselves. If they lack capacity, a family member can record a best-interests declaration inside the app — it's dated and shown under 'About this record'. If someone holds a lasting power of attorney or deputyship for them, the privacy notice explains how that route applies.

What are the plan limits?Billing

Free: 1 person cared for, up to 5 circle members, and 10 Chronicus assists a month. Kithra Pro: up to 4 people and 10 members, with circle messaging. Bundle: up to 10 people and 15 members. You can add extra people or member seats to a paid plan.

How does the PIN lock work?Security

Kithra locks with a 4-digit PIN after a spell of inactivity instead of signing you out — you re-enter the PIN to carry on on that device, and you can change your PIN any time from your account's Security section.

Can I take a break, or close my account?Getting started

Yes. Pausing hides Kithra until you resume — your data is kept, nothing is deleted, and paid billing pauses while you're away. To delete your account, first hand your circle to another member or remove the profile; your account page has both, together.

How do care summaries work?Getting started

Care summaries draw together what your circle has already written — notes, tasks and appointments — into one readable update, as part of Kithra Pro. A summary is drafted from your family's own entries and is never medical advice; the full record stays exactly as you wrote it.

How do I share a document with someone?Getting started

Documents are private to you until you choose otherwise. Nobody in your circle can see a single file until you say so, and you can change your mind at any time. Sharing happens on People & permissions, not on the Documents page: open the person's row and set what they can see. On the free plan you share your documents as a whole — either someone can see them or they cannot. On Kithra Pro and Bundle you choose folder by folder, so someone can see the care plan and the medical letters without ever seeing the will. Each folder has three settings: Hidden (they do not know it exists), Can see (they can read what is in it) and Can see and add (they can read it and file something new into it). Everything starts hidden — nothing is shared by accident. One thing never changes, on any plan: only the account owner can change or delete a document. Somebody you have given "can see and add" can put a new file in — they cannot alter or remove anything already there. If a paid plan ends, your folder choices are kept but stop applying — nothing is deleted and nothing is lost, and they start working again the moment the plan resumes. Change any setting whenever you like; access stops immediately.

How do I write a note about what happened?Getting started

A note is a short write-up of how something went — a visit, an appointment, an ordinary afternoon. It is the day-to-day record your circle reads to know what has been happening. Anyone in the circle with write access can add one; it is the same permission as everything else, with no separate rule for notes. Write a note from the care log or the Documents page — it opens wherever you are, so you do not lose your place. They are short on purpose: a note is 280 characters — enough for what happened, not enough to become a week's summary — and text only, with no photographs and no attachments. If you find yourself wanting more room, that is what a care summary is for, and there is a link at the foot of the log. Notes appear in two places: in the care log with everything else, and under Visit notes in Documents, where you can read just the write-ups. After a visit you can ask a person in the circle to write it up rather than doing it yourself, and you can have 3 of these requests open at once — that keeps it a care record rather than a messaging app. Notes are free on every plan. They are family-entered and not clinically verified: they are what your circle observed, not a medical record, and no clinician has checked them.

What does Care Vault cost?Billing

Kithra Free is free for as long as you use it — it's not a trial. It covers 1 person cared for, a care circle of up to 5, the care log and 1 emergency card. Kithra Pro is £7.99/month or £95.88/year, with up to 4 people cared for and a circle of up to 10 — extra circle members are £3.00/month each — plus the full document vault, scheduling and reminders, messaging in the circle and multiple emergency cards. The Bundle is £14.99/month or £179.88/year: everything in Pro, up to 10 people cared for and a circle of up to 15, plus progress summaries with receipts and Chronicus AI as it launches. Paying annually costs the same as twelve months, and prices are shown without VAT because none is charged.
